# Share Dashboards and Charts

> Share Klaritics dashboards and charts as Private, Restricted, or Project-wide, and understand how sharing limits interact with each recipient's project-level permission.

Sharing controls who can see a dashboard or chart, and what they can do with it once they can. Every dashboard and chart has one of three visibility states.

## Visibility states

Newly created dashboards and charts are **Private** by default, and the creator is assigned ownership.

## Restricted sharing

A user with share capability can share a resource with specific users. The sharer searches for eligible users by email or another supported identifier, and assigns each one:

* Full Access
* Editor
* Viewer

## Project-wide sharing

When the owner selects Project-wide, the resource becomes available to users across the project. The available project-wide access levels are **Viewer** and **Editor**.

  Project-wide access always respects each user's project-level permission. Setting a dashboard to Project-wide Editor does not elevate a Viewer user to Editor.

**Example 1 — Dashboard set to Project-wide = Editor**

**Example 2 — Dashboard set to Project-wide = Viewer**

## Two rules constrain every share

### The sharer's ceiling

A sharer can only grant permissions at or below their own effective permission.

An Editor can grant Editor and Viewer, but cannot grant Full Access.

### The recipient's ceiling

A recipient cannot receive a resource-level permission higher than their project-level permission.

If the recipient's project permission is Viewer, the highest resource-level permission available is Viewer.

\* Viewer users do not have the share action in the recommended model, so these combinations should not normally occur through the UI.

## Listing visibility

The dashboard listing shows only the dashboards a user has access to. The same rules apply to the chart listing.

| Visibility | Who sees it in the listing |

| **Private** | Owner only |
| **Restricted** | Owner and explicitly shared users |
| **Project-wide** | Project users, subject to their project-level permission |

## The Overview page is different

Overview is a common project-level page, so a chart pinned to Overview has its **card** visible to all project users. Interaction with that chart is still permission-controlled.

<Note>
  Overview visibility is project-level, while chart interaction and data access remain permission-controlled. A user with no access to the chart still sees the card, but cannot open or edit it, and the chart data is not exposed.

## Worked scenarios

    User 1 and User 2 both hold Full Access for dashboards and charts.

    User 1 creates Dashboard 1 containing Chart 1. Both default to Private.

    User 1 shares `Dashboard 1 → User 2 → Full Access`. User 2 can now view, edit, retitle, add and remove charts, share, and duplicate Dashboard 1.

    User 2 does **not** automatically receive Chart 1 permission. While Chart 1 remains Private, User 2 cannot edit it. Once User 1 shares `Chart 1 → User 2 → Full Access`, User 2 can edit the chart.

    User 2 holds Editor for both dashboards and charts.

    User 1 shares `Dashboard 1 → User 2 → Editor`. User 2 can view, edit, retitle, add and remove charts, and share Dashboard 1. User 2 cannot edit Chart 1 until it is shared separately.

    User 1 can offer only Editor or Viewer for this dashboard. Full Access is unavailable because User 2's project-level dashboard permission is Editor.

    User 2 holds Viewer for both dashboards and charts.

    User 1 shares `Dashboard 1 → User 2 → Viewer`. User 2 can see Dashboard 1 in the listing, open it, and view permitted content.

    User 2 cannot edit the dashboard, change its title or description, delete charts, or share it. User 2 cannot view Chart 1 until that chart is separately shared with Viewer access.
